College Recruitment Portal ("CRP," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect personal information when you use our website and platform.
By accessing or using the Service, you agree to the terms of this Privacy Policy.
1. INFORMATION WE COLLECT
We collect:
- Full name
- Email address
- Phone number
- Graduation year
- GPA
- Test scores
- Home address
- Highlight videos
- Athletic resumes
- Transcripts
- Social media links
2. ACCOUNT & SECURITY
- Username and password
- Two-factor authentication (2FA)
3. PAYMENTS
Payments are processed through Stripe. We do not store payment data.
4. HOW WE USE INFORMATION
Used only to manage accounts, enable recruiting outreach, process payments, support users, and maintain security.
Emails are sent through users' own email providers. Recruiting emails sent from the platform, and coach replies received through the optional email forwarding feature, are stored so they can be displayed in the user's account (see Section 16).
5. FILE STORAGE
Resumes, transcripts, and videos are stored securely on DigitalOcean servers.
6. SECURITY
We use encryption, HTTPS, 2FA, and restricted access controls.
7. MINORS & CHILDREN
Minors may use the platform. Parental permission is assumed for general use of the platform. Before enabling the optional email forwarding feature, users under 18 are asked to confirm that they have checked with a parent or guardian, and where required by applicable law we will obtain appropriate parental or guardian authorization (see Section 16). Parents may request deletion at support@collegerecruitmentportal.com.
8. DATA SHARING
We do not sell, rent, or share user data with any third parties. Only Stripe receives limited payment data.
9. EMAIL DISCLOSURE
Recruiting emails sent from the platform, and messages retained through the optional email forwarding feature described in Section 16, are stored so they can be displayed in the user's account. Forwarded messages from unrecognized email addresses are automatically deleted and their content is not stored.
10. USER RIGHTS
Users may access, edit, delete, and request removal of data.
11. COOKIES
We do not use advertising cookies, pixels, or third-party analytics.
12. DATA RETENTION
Data is retained only while the account remains active.
13. DATA BREACH
Users will be notified promptly of any data breach.
14. INTERNATIONAL USERS
Data may be processed in the United States.
15. UPDATES
Policy updates will be posted with a new effective date.
16. EMAIL FORWARDING AND RECRUITING COMMUNICATIONS
College Recruitment Portal ("CRP") offers an optional email forwarding feature that allows users to receive recruiting-related email communications directly within their CRP account.
How Email Forwarding Works
When a user enables this feature, Gmail forwards copies of incoming email messages to a private forwarding address assigned to the user's CRP account.
CRP automatically processes forwarded messages to determine whether the sender's email address matches a recognized contact within the CRP recruiting system.
Messages from recognized email addresses are retained and displayed in the user's CRP inbox. Messages from unrecognized email addresses are automatically deleted and are not displayed in the user's CRP inbox.
Purpose of Processing
CRP processes forwarded emails for the purpose of identifying, organizing, and displaying recruiting-related communications within the platform.
User Control
Email forwarding is optional. Users may disable forwarding through their Gmail settings at any time. Disabling forwarding stops future messages from being forwarded but does not automatically delete previously retained recruiting communications.
Privacy and Security
CRP applies technical and organizational safeguards designed to protect forwarded email communications and limit access to authorized purposes.
Consent
Users must provide affirmative consent before enabling the email forwarding feature. Where required by applicable law, CRP will obtain appropriate parental or guardian authorization before enabling the feature for minors.
